ERU BOARD POSITION ROLES & RESPONSIBILITIES
Vice President/Administration *
- Responsible for the process of determining the annual recipients for the awards and trophies for both Junior and Senior rugby.
- Responsible for maintenance of the Awards database and retaining the historical data related to the awards.
- Responsible for promoting the awards and the recipients in a relevant manner at a relevant time.
- Gathering in for presentation at playoffs
- Facilitates repairs and updates.
- Ordering of keeper plaques for Annual awards day
- Gathering trophies for the annual awards day at which time it should be determined where the hardware will remain for the year and tracking the location of all the awards.
- Responsible for collecting and creating a policy and procedures manual to outline the operational and procedural functions of the ERU
- Responsible for seeking and applying for relevant grants for the ERU and the clubs
- Responsible for creating and promoting a club development resource library, complete with information and links to vetted sites that may assist clubs in their development as successful organizations.
Director/Communications *
- Responsible for the creation and implementation of a Communication program for the ERU including Website, social media and any other sources of effective communication.
- Responsible for creation of ideas and implementing plans for fundraising and sponsorship. Responsible for the process of determining a marketing plan that promotes the game of rugby in Northern Alberta, having it approved by the board and promoting it to the clubs.
Director/Junior Rugby **
- Responsible for league play for both boy’s and girl’s rugby in the junior age grades. Governs as well as manages programs and services.
- Leads, or is a member of any committees which manage programs and ensures that services are implemented.
- Acts in the role of a service volunteer, as well as a board volunteer, to assist in operating programs. Is present at as many junior fixtures as possible.
- Works with the VP Senior Rugby on retention of youth to senior programming
- Responsible for, or the delegation of responsibility for the following:
- Fixtures; the construction of, communication with membership and maintenance throughout the season
- Liaison with the AJRA, Provincial Union and CRU on interlocking leagues
- Tracking of team sheets; working with the staff to conduct audits to ensure 100% compliance with rules & regulations.
- Records, (or delegates to staff) scores and standings
- Reviews rosters at playoff time to ensure all meet eligibility requirements.
- Approval of player dispensations moving from Junior TO Senior
- Compiles annual requests from clubs for changes to Rules & Regulations
- Responsible for the liaison and delivery between clubs and the ERU in terms of Mini rugby or Rookie rugby and ensuring that clubs are supported logistically with organizers and referees for both the programs and the tournaments, working in conjunction with ERU staff and Board members and AJRA.
Vice President/Rugby **
- Responsible for Human Resources (working in conjunction with relevant Board members and staff) where duties include the oversight or/and creation of job descriptions as required, position advertising, hiring, overseeing staff, annual evaluation, and contract negotiation.
- Responsible for High Performance and Development as it relates to the following:
- Representative programs (All Gold Programs).
- Responsible for ensuring that staff or delegated volunteers create and deliver programs that provide opportunities for players to elevate their level of competition and development in alignment with provincial and national programs and pathways.
- Ensuring that programs and competitions are created, outlined, and promoted to all clubs. That all coaching staff are vetted and qualified and provide an opportunity for advanced development for players.
- Ensuring that all player pathways are clearly defined and distributed to all involved.
- Coaching development programs that promote and provide coaching development to the clubs and to the representative programs, including certification courses and the creation of clinics specific to the needs of the ERU community. Ensuring that coaches are supported and encouraged to develop their expertise at whatever level they are involved with or aspire to.
- Refereeing development that works in conjunction with the ERURS to ultimately develop more referees that are supported in their efforts to develop their expertise in this domain.
- Club development that provides support in terms of resources that can be provided to assist clubs in furthering the growth of the game in their areas, e.g. grants and casinos etc.
Responsible for ensuring competition exists for all members of the region.
Treasurer **
- Is responsible for the accounting of the funds of the organization, its budget, and expenditures.
- Prepares annual budget with input from each VP and the bookkeeper.
- Reviews invoice/receipt documentation and authorizes payment for goods and services.
- Is the liaison (along with the ERU Bookkeeper) between ERU and the AGLC regarding use of gaming funds.
- Note that the Bookkeeper prepares all AGLC reporting documents for the treasurer’s signature.
- Organizes the bi-annual Casino.
- Gives regular reports to the Board on the financial state of the organization. Keeps financial reports on file.
- Acts as signing officer, with another officer or Bookkeeper for cheques and other documents.
- Responsible for the area of player registration in terms of setting annual fees and working with the staff and the clubs to ensure an efficient and seamless process.
Secretary **
- Keeps copies of the organization’s bylaws and the Board’s policy statements.
- Keeps lists of officers, Board Members, committees, and General Membership (Clubs).
- Notifies Board Members of meetings.
- Brings official minute books to meetings.
- Keeps record of Board attendance.
- Together with the President, make sure that there is a quorum at Board meetings.
- Keeps accurate minutes of meetings.
- Records all motions and decisions of meetings.
- Records all corrections to minutes.
- Keeps copies of minutes of both Board and committee meetings.
- Distributes copies of minutes to Board Members promptly after meetings.
- Conducts general Board correspondence and communications with General Membership
- Ensures that all pertinent documentation is filed in the appropriate files on the ERU drive.
President *
- Represents the ERU at Provincial and National levels of delivery.
- Ensures that the Board adheres to its bylaws and constitution and operates within the determined roles and responsibilities.
- Ensures that the bylaws, constitution and board roles and responsibilities are reviewed and updated as required.
- Delegates responsibilities for the operation of the ERU to members of the Board and monitors results, ensuring that Board members are accountable for their responsibilities.
- Handles or delegates to a sub-committee for complaints, protests, discipline challenges etc.
- Chairs the monthly Board meetings and keeps discussion on topic by summarizing issues and tracking action items.
- Steers the Board’s activities to remain focused on the organization’s mission and strategy plan.
- Serves as ex officio member of committees and attends their meetings when needed.
- Responsible for seeking alternate sources of revenue for the ERU, e.g. grants etc. and oversees or delegates the submission and reporting of those grants.
- Acts as the direct liaison to club presidents for all ERU information and liaises with club presidents regarding facilities
- Responsible for ensuring that the organization meets the standards for safety and risk management for the game in Northern Alberta complete with a process for delivery and acknowledgement of a code of conduct.
Director/Senior Rugby *
- Responsible for league play for both men’s and women’s rugby in the senior age grades. Governs as well as manages programs and services.
- Leads, or is a member of any committees which manage programs and ensures that services are implemented. EG: ARU Competition committee
- Acts in the role of a service volunteer, as well as a board volunteer, to assist in operating programs. Is present at as many senior fixtures as possible.
- Works with the VP Junior Rugby on retention of youth to senior programming
- Responsible for, or the delegation of responsibility for the following:
- Fixtures; the construction of, communication with membership and maintenance throughout the season
- Liaison with the Provincial Union and CRU on interlocking leagues
- Tracking of team sheets; working with the staff to conduct audits to ensure 100% compliance with rules & regulations.
- Records, (or delegates to staff) scores and standings
- Reviews rosters at playoff time to ensure all meet eligibility requirements.

Director/Discipline *
- Chairs the discipline committee.
- Receives and reviews reports from Match Officials and/or
- Members of the Board relating but not restricted to:
- all matches and activities under its jurisdiction
- all club and representative matches
- all matches with visiting clubs or teams
- Call witnesses, hear representations, and may at its own discretion hear statements from any other person or persons relating to the incident in question.
- Proceed in the absence of the accused party if satisfied that such party has had sufficient notice of the time and place of the hearing.
- Decide upon what action, if any, is to be taken. A decision of the majority of the committee shall be the decision of the committee.
- Provides copies of any suspension rulings to the VP Senior, VP Junior and Registrar/VP Admin in order to audit game sheets.
- Maintains a record of reports for use in tracking repeat offences from year to year.
ERU Referee Society Representative
- Not an elected ERU board position. Act as the Representative of the Edmonton Rugby Union Referees’ Society (ERURS) at ERU board meetings, or find another ERURS member to attend as a representative
- Act as liaison between ERU & ERURS and share important items from either organization’s board meetings
- Work with the VP Rugby in regard to Match Official development
- Assist the VP Admin with the ERU Awards in regard to the Referee of the Year Award and Most Sportsmanlike Team
- Provide updates and tracking on all budget line items related to refereeing
